We understand that life can be unpredictable, and sometimes, unexpected events make it difficult to keep appointments. It’s with this understanding, and a desire to serve all our patients effectively, that we’ve established our Late Cancellation/No-Show Policy. We want to take a moment to explain the “why” behind it, and how it helps us better care for you and our community.
Why 48 Hours Notice?
When you book an appointment with us, you’re reserving a dedicated time slot with one of our practitioners. This time is specifically set aside for your care, and during that period, it’s unavailable to other patients who may be in need. Our 48-hour notice policy isn’t about penalizing anyone; it’s about being respectful of everyone’s time and ensuring that as many patients as possible can access the care they need.
- Supporting Your Fellow Patients: Appointments are often in high demand. When you provide advanced notice, it allows us to offer that valuable time slot to another patient who might be waiting for care, perhaps even someone with an urgent need.
- Respecting Our Practitioners’ Time and Dedication: Our practitioners are deeply committed to their work and to helping you achieve your health goals. A missed appointment without sufficient notice means that their dedicated time, and the resources prepared for your visit, go unused. This impacts their ability to serve other patients and maintain a sustainable practice.
- Ensuring Clinic Viability: Like any healthcare provider, NCMC has operational costs. When appointments are missed without notice, it can affect our ability to cover these costs, which ultimately impacts the services we can offer to the entire community. This is especially true for specialized services like IV Therapy, where preparations involve significant material costs.
We Understand Emergencies Happen
We know that life throws curveballs. Emergencies, sudden illness, or unforeseen circumstances can arise, making it impossible to give 48 hours notice. We built our policy with compassion and flexibility in mind for these situations. For a first offense due to an emergency or severe illness, we are often able to waive the fee, understanding that these are truly exceptional circumstances. Our goal is always to work with you.
What Happens If We Don't Have a Policy?
Without a clear policy, the impact would be felt by everyone:

- Practitioner Burnout: Our dedicated team works hard to provide exceptional care. Frequent last-minute cancellations or no-shows can be disheartening and disruptive, impacting their ability to focus on patient well-being.
The Ripple Effect: Administrative, Overhead, and Practitioner Livelihood Impacts
When our policy isn’t consistently applied, the effects extend far beyond a single missed appointment, creating a ripple effect across our clinic:
- Administrative Burden: Each late cancellation or no-show requires significant administrative time. Our front desk staff must attempt to contact patients, reschedule appointments, and manage the complexities of our booking system. This takes away from their ability to assist other patients, answer important calls, and ensure the smooth operation of the clinic. The time spent on these tasks is time that could be dedicated to improving your experience in other ways.
- Increased Overhead Costs: Certain services, particularly those involving specialized preparations like IV therapy, incur costs even if the patient doesn’t arrive. If an IV bag is prepared and then unused due to a no-show, the cost of the ingredients and the time spent by our team in preparation are lost. Over time, these accumulated losses contribute to increased overhead, which can impact our ability to invest in new equipment, training, and services that benefit all our patients.
- Impact on Practitioner Livelihood: Our dedicated practitioners, many of whom operate on a schedule dependent on booked appointments, rely on these sessions for their livelihood. A missed appointment without adequate notice directly impacts their income, as that time cannot be filled by another patient. This can create financial instability for them and, in turn, affect our ability to retain the highly skilled and compassionate professionals you’ve come to trust.
